Job Description: Scope of Position
As a Wedding Sales Manager you will be responsible for the sales, service, planning, organization, communication and overall execution of Weddings, Bar & Bat Mitzvahs, as well as any other event that is sold or assigned. You will be an expert in analyzing the needs and expectations of the client as well as the ability of Seaport to meet and exceed those needs and expectations. You will be responsible for the clear communication of our client’s expectations to each internal department. You will be responsible for ensuring each department meets and/or exceeds the standards of our organization and our clients. A Wedding Sales Manager is empowered to negotiate with the client on any and all aspects of their event(s) in order to ensure their satisfaction and the ultimate success of the event(s) while contributing to Seaport’s ability to maximize revenue and profitability.
The Wedding Sales Manager is an integral part of the Sales Team and reports directly to the Director of Catering.
Schedule Requirements
Schedule will vary, and will include working evenings, weekends and holidays (as necessary) to cover events.
Key Responsibilities
* Qualify incoming social calls to determine the potential value of the business. If the potential business falls within the booking parameters of Wedding & Bar/Bat Mitzvah events, draft menu proposals and conduct site inspections in order to secure the related business. If the menu and the space are agreeable to the client, generate the booking contract, and send the contract to client for signature and deposit. Follow up as necessary to ensure proper return of the contract and deposits,
* Execute and service all weddings booked through the planning process. Including, but not limited to the following tasks: Meet with clients, conduct taste meals, create banquet event orders, manage wedding room block and cut off, attend all necessary meetings required to communicate event’s needs to the Seaport operation. Represent the needs and expectations of the client to all operational departments within the Seaport Hotel and Seaport World Trade Center Boston. Prepare and collect payment for event following all standard billing procedures.
* Be on sight to execute weddings and remain until the last guest leaves the ballroom.
* Responsible for the success of the operation through clear verbal and written communication, and living the established company values.
* Completes any duties and projects assigned by Director of Catering.
Required Job Knowledge and Skills
* Exceptional customer services skills.
* Strong organizational and planning skills required.
* Excellent written and verbal communication skills.
* Working knowledge of hotel catering industry and wedding terminology.
* Computer skills including Delphi, Meeting Matrix, Word, Excel, and GEAC preferred.
Qualifications
* 2 years of Hospitality Sales, Banquet, event planning or related experience.
* Requires long periods of standing.
* Bachelor Degree required.

Position: Catering Manager
Position Summary:
* Work with the Director of Conference Management and Catering to cultivate and implement local social and corporate business;
* Research the competitive catering environment to define potential sources of Catering business and to determine strengths and weaknesses of competitors;
* Work with the Director of Conference Management and Catering to develop annual Catering sales plans to attract local market segment;
* Work with solicitation tools such as the “Wedding Pages” to effectively publicize the hotel’s wedding services and catering capabilities;
* Effectively establish the local market to include, but not limited to: local client contacts, businesses, social events, fund-raisers, weddings, and bar/bat mitzvahs;
* Successful implementation of booked catering business and servicing of client events;
* Oversee local Conference Services Manager in the solicitation, preparation, planning, and servicing of catered events;
* Block space effectively in Delphi to maximize potential revenues, utilizing space release request forms;
* Provide personal attention to clients from the time a group is classified as definite until the bill is paid to ensure total satisfaction of group needs;
* Distribute Banquet Event Orders to all appropriate hotel departments to facilitate efficient purchasing, planning, and employee scheduling;
* Inform operating departments of any changes, additions, or deletions to assigned groups’ function plans;
* Oversee Destination Management Services and additional vendors as they relate to specific groups;
* Check functions daily, meeting with client contacts;
* Be available to clients for last minute changes;
* Ensure times and locations of specific events are posted properly and in the appropriate locations;
* Discuss group’s plans for future events, encouraging rebooking;
* Attend all meetings as appropriate: staff, department, and Banquet Event Order;
* Provide upselling and servicing support to Conference Services management as needed;
