Position Summary:
1. Conveys a positive impression of the company with composure and professionalism.
2. Promptly and cordially handles incoming inquiries, interviews potential clients and obtains function details.
3. Articulate and confident when speaking to potential clients.
4. Evaluates feasibility and profitability of business.
5. Checks availability and maximizes utilization of space.
6. Follows through properly (inquiry letter), blocks definite business and generates wedding, bar mitzvahs, city social events and catering contracts.
7. Identifies and solicits wedding business, pursues and identifies new markets.
8. Actively solicits by involvement in local industry networking efforts/events to increase revenues. Relates to customers exceedingly well resulting in a loyal customer base.
9. Enlist in leading wedding networking organizations.
10. Adopt industry trends, tools and techniques.
11. Actively involved in public relations efforts:
– Markets self as Boca’s wedding expert
– Proficient speaker
– Artful ability to market Boca’s “style” to clients
– Assists PR in writing articles for bridal magazines
– Boca’s wedding representative for media and press
12. Promote and sell services provided by Boca By Design, including but not limited to décor, design and entertainment.
13. Oversee proposal in conjunction with Boca By Design team.
14. Meets with clients to ascertain all details of function as follows:
– Confirms time, location, menu (up-selling when possible), beverage selection, room set ups, audio-visual, valet and billing arrangements
– Recommends vendors and assists clients in process
– Completes BEO’s for function 10 days prior to event and assures proper distribution
– Uses creativity and imagination to give the customer professional advice regarding set up and menu selection
– Adheres to Resort policy regarding guarantees, advance deposits, final payment, trace systems and correspondence
– Records all changes promptly and notifies concerned parties as soon as possible
– Keeps aware of seasonal food cost changes and all cost aspects as to selling at maximum profit
– Maintains and uses trace system, follows up on lost business (while documenting the reason) and tries to rebook future business
15. Oversees Function as follows:
– Ensure proper set up of all events
– Provides Banquet and Culinary Team with special requests and instructions
– Oversees and coordinates wedding ceremonies and rehearsals and events
– Maintains close contact with clients before and throughout entire event
– Graceful and tactful under pressure from customers.
16. Meets walk-in clients as required
17. Attends all meeting and training sessions as required
18. Perform other related duties as assigned or requested by Director of Catering
19. Prepares monthly forecasts and assist with annual budget and Wedding/Catering Market Plan
20. Involved in the banquet menu process
21. Provide off premise catering as needed
Requirements
Required Skills:
Minimum 3-5 years in wedding event planning/catering sales management for hotels, knowledge of décor and design and excellent communication skills, detail oriented and efficient. Must be able to sit, stand, stoop or bend for duration of shift (at least 8 hours).

Computer knowledge in Word, Delphi and Excel
